RM 05009.003 Determining Correspondence to be Sent Directly to State Agencies - Procedure

Forward letters addressed to State agencies through the parallel Field Office (FO) unless the correspondence is of the type specified below:

  • replies to requests for information concerning missing SSN's, multiple SSN's, incorrect SSN's, and/or earnings data

  • replies to requests concerning status of RSDI claims

  • communications of an emergency nature which must be handled directly with the agencies

  • routine correspondence to State officials, such as audit statements.

When it is necessary to forward a letter through the parallel FO, send it under cover of a route slip (e.g., OF-41) or a covering memorandum when special instructions are necessary.

NOTE: Refer to RM 05006.001 for instructions concerning the use of route slips and memorandums to transmit this type of letter.
