GN 01070.225 Prior Folder In Federal Archives And Records Center (FARC)

Procedure when prior folder is in FARC

A. Prior folder request

1. PC action

  • Request the folder immediately.

  • Request only the most recently stored folder if there are multiple prior claims folders. However, see GN 01010.032D.2.b. when disability is involved.

  • Advise the FO of the approximate time needed to obtain the folder from the FARC - usually 10 working days in the PC's and OIO, 30 days in ODO.

2. FO action

Adjust follow-up timeframes accordingly.

B. Prior folder received--CA or BA action required

Review the folder and telephone the requesting FO.

C. Folder not retrieved timely from FARC

1. Open application involved

If immediate payment is due to the claimant, and the prior claims folder has not been retrieved from the FARC within 15 working days (the amount of elapsed time before the FO's second follow-up request):

  • FO Action--Partially adjudicate the current claim and prepare a diary for 60 days for PC follow-up of the open application issue.

  • PC Action--When the diary matures, follow the instructions in GN 01070.222A.1.

2. All other issues

If the prior claims folder has not been retrieved from the FARC within 15 working days of the initial FO telephone request, the FO should proceed in accordance with GN 01070.222B. & C.
