GN 01716.315 Telephone Communication With the Canadian Liaison Agencies

A. Policy

OIO technicians use telephone communication with Canada to:

  • request coverage and other information from Ottawa or Quebec records,

  • request the status of pending claims or development requests, and

  • clarify development requests received from Ottawa/Quebec.

B. Procedure

Use the following instructions for telephone communication with Canada.

1. Placing Calls to Ottawa

Use the following guidelines when placing calls to Ottawa:

  • Complete a Record of Phone Call Documentation Form when you initiate a call to Ottawa.

  • Make no more than one call per day, per technician to each of the 6 sections.

  • Call between 8:00 a.m. and 3:30 p.m.

  • Be prepared to provide the NHs full name and Canadian social insurance number (SIN).

  • If the Canadian SIN is unknown, be prepared to provide full identifying information; i.e., name at birth, if different, father's name, mother's maiden name and date and place of birth, and

  • Relate calls to a specific case. Refer general to an OIO program analyst or policy questions to CPS.

2. Placing Calls to Quebec

Use the following guidelines when placing calls to Quebec:

  • Complete a Record of Phone Call Documentation Form when you initiate a call to Quebec,

  • Make no more than one call per day per technician,

  • Call between 8:30 a.m. and 4:00 p.m.

  • Be prepared to provide the NHs full name and Canadian SIN.

  • If the Canadian SIN is unknown, be prepared to provide full identifying information; i.e., name at birth, if different, father's name, mother's maiden name and date and place of birth, and

  • Relate calls to a specific case. Refer general to an OIO program analyst or policy questions to CPS.
