DI 32548.005 Systems Operating Procedures

A. Policy

Hyatt III cases entered on the National DDS System (NDDSS) per the procedures in DI 32548.005B.1. will not appear on the case control system.

B. Procedure

1. Case receipt

Enter as receipts (DREC) on the NDDSS with the following information:

  1. PIN, LUN, LEX - Enter the usual information (see SM 06001.120).

  2. AN, BIC, AH, XAH, DB, XAN, XBC - Obtain from the original SSA-831-U3 in the case folder.

  3. TYP - Enter the level code “RC” followed by the claim type (DIB, DI, etc.) from the original SSA-831-U3.

  4. RCD - Enter the current date (MMDDYY).

  5. SRD - Enter the current date (MMDDYY).

  6. SO - Enter “N”.

  7. DO - Enter the office code for the office that sent the folder to the DDS. (NCDDS may enter the office code for the servicing FO.) This information can be found on the court case flag attached to the case folder. For example: PC7.

  8. In the next available LIT field – Enter 755.

2. DDS has CDR - Hyatt case received

If DDS has a CDR pending, enter Hyatt case through receipt (DREC) on the NDDSS as an assistance request with the following information:

  1. PIN, LUN, LEX - Enter the usual information (see SM 06001.120).

  2. AN, AH, XAH, DB, XAN, XBC - Obtain from the original SSA-831-U3 in the case folder.

  3. BIC - Enter “AR”.

  4. TYP - Enter the level code “RC” followed by the claim type (DIB, DI, etc.) from the original SSA-831-U3.

  5. RCD - Enter the current date (MMDDYY).

  6. SRD - Enter the current date (MMDDYY).

  7. SO - Enter “N”.

  8. DO - Enter the office code for the office that sent the folder to the DDS. (NCDDS may enter the office code for the servicing FO.) This information can be found on the court case flag attached to the case folder. For example: PC7.

  9. In the next available LIT field enter 755.

3. Case clearance

For case clearance:

  1. Enter on the NDDSS following instructions in SM 06001.300.

  2. Input a systems override (SO) code of “C” to indicate case control clearance only.

  3. Insure that the Hyatt III indicator of 755 is in one LIT field.

  4. Route to the servicing FO (or to the Disability Quality Branch (DQB) if selected for QA or PER).

4. Folder location/status requests

For folder location/status requests:

  1. Obtain via the DDS query (DDSQ) facility (SM 06002.001).

  2. Identify Hyatt III cases by the LIT code, 755.

5. Identification of pending claims in same or another DDS

When entering a receipt on the NDDSS and the edit message “OPEN CLAIM EXISTS IN (name of State)” is received:

  • Obtain a DDSQ on the SSN.

  • See DI 32548.015 for consolidation instructions.
