NL 00702.140 Checking Documents for Accuracy - Procedure

To ensure accuracy, the typist should follow these steps when completing each document.

  • All fill-ins should be checked for accuracy.

  • When using dictated text or modifying text in print image, that text should be proof read and then spell checked using PF2.

  • A blank line should be used at the end of each dictated paragraph.

  • Delete all blank lines that are not needed for proper spacing including the one at the end of the document.

  • Do not modify any commands that appear on the edit screen.

  • The document should be viewed using PF17. When using PF17 to view a document, the screen may show a PRINT ERROR message. This indicates a problem with the document. Before printing the document, the problem should be resolved by going back to the edit screen and using the head command “E” to go through all of the prompt screens.

  • Make sure names appear on one line. Use the SHIFT/6 key instead of the space bar after the title (Mr., Ms.) and between each name or initial.
