NL 00719.005 Letter Completion Codes for MADCAP

A. Background on MADCAP letter completion codes

The MADCAP notice program produces notices for a variety of action types (awards, adjustments, one check only actions, etc.). The letter completion codes indicate whether:

  • The notice was completely done by the system (needs no further action).

  • The notice was incomplete (needs additional language or other information).

  • No notice was selected.

  • A dictated notice was requested.

B. Description of the MADCAP letter completion code

The completion code is the first character input by the technician in the Enclosure Notice Block (ENB) at the time the MADCAP transaction is being input. It is the technician's responsibility to select one of the letter completion codes shown below:

1. Completion Code C

This code is entered in the ENB when the entire notice can be completed by the system through the use of either systems generated UTI's, UTI's input by the technician, or the use of the new dictated text (NOT) screens or a combination of these actions. If the action results in an alerted notice, then any dictated text on the (NOT) screen will not appear in AURORA.

2. Completion Code I

This code is entered when the notice requires additional language or when there are other circumstances requiring manual handling. The system will generate all of the applicable systems generated UTI's such as the opening statement, requested UTI’s, payment language and any hospital and medical insurance UTI's called for by the action taken. The language or other information needed to complete the notice is completed in AURORA. UTI AAA031 can be used with an “I” when keying dictated text on the (NOT) screen. If the action results in an alerted notice, then the (NOT) screen dictated text will not appear in AURORA.

3. Completion Code N

No notice is to be generated.

4. Completion Code D

The notice language will be dictated by the technician. The system will generate a header, referral and signature information, but will not generate any UTI's. No UTI's are coded when the letter completion code of “D” is used. All of the language can be completed in AURORA. However, any dictated text keyed on the (NOT) screen will not appear in AURORA.

5. Completion Code B

The completion code of B will suppress all automatically generated HI/SMI paragraphs (UTI’s). The technician must code the appropriate UTI’s and fill-ins. Entering, the completion code of B as the first position on the Enclosure Notice Block (ENB), forces the system to produce an incomplete MADCAP notice. The system will generate all of the applicable systems generated UTI's such as the opening statement and payment language. The completion code of B will follow the same rules as the completion code of I. Any other information needed on the notice, the technician must complete via AURORA.

NOTE: The proper method to use the completion of “B” on the ENB is as follows:

EXAMPLE 1: B*HIB191*HIB011, 54.00, C*MHP009.

EXAMPLE 2: B* MHP001*HIB043,B.

6. Completion Code H

The completion code of H will suppress all automatically generated HI/SMI paragraphs (UTI’s). The technician must code the appropriate UTI’s and fill-ins, when using the H. Entering the H as the first position on the Enclosure Notice Block (ENB), forces the system to complete the entire notice. The notice will contain either systems generated UTI's, requested UTI's input by the technician, dictated text on the NOT screens or a combination of these actions. The technician must input all HI/SMI paragraphs (UTI's) pertaining to the action. When the technician has keyed all requested UTI’s on the ENB, the notice will go out as a complete notice. Once the notice transmits via MADCAP, technicians will not be able to access the notice via Aurora, unless it alerts.

NOTE: The proper method to use the completion of “H” on the ENB is as follows:

EXAMPLE 1: H* HIB043, B *AAA031.

EXAMPLE 2: H*HIB092*HIB198,A.
