Background

The Office of Data Exchange, Policy Publications, and International Negotiations is now responsible for negotiating and implementing bilateral Social Security agreements. Accordingly, we are revising existing Totalization POMS sections to account for new component names, addresses, and workload processes. We also updated these instructions to meet the Agency's plain language requirements.

We updated this section to provide new instructions for handling status requests for Totalization claims for Polish benefits that are filed with the Social Security Administration, Division of International Operations in the United States.

GN 01751.225 Requests for Status of Application for Polish Benefits

A. Automatic status notice for an application for Polish benefits

When the Division of International Operations (DIO) forwards claims material (such as information about the Polish claim, certified copies of evidence, or a copy of the worker’s U.S. coverage record) to Poland, the Benefit Earnings Technician (BET) electronically stores the claims material in the Paperless Processing Center (PPC) system in DIO before forwarding the claim to the Polish agency. The system automatically generates a notice that the BET sends to the applicant. The notice informs the applicant that the claims material was forwarded to the Polish agency.

B. Applicant requests status of a Polish claim

If an applicant contacts the Social Security Administration (SSA) for status of his or her claim for Polish benefits and states that he or she has not received notification that DIO forwarded the claim to the Polish agency, check the PPC system. NOTE: Field offices are able to check the PPC system through the Paperless ROQS (Read Only Query System), accessible via iMain.

1. PPC does not show that DIO forwarded the claim to Poland

If PPC does not show that DIO forwarded the claim to Poland, advise the applicant to write directly to DIO at the following address:

2. PPC shows that DIO forwarded the claim to Poland

If PPC shows that DIO forwarded the claim to the Polish agency, advise the applicant to contact the Polish agency directly. Applicants can find contact and other information online at:
