Background

This is a Quick Action Transmittal. These revisions do not change or introduce new policy or procedure.

Summary of Changes

RM 00207.040 FO Procedures — Auxiliary or Survivor Claimant Has an SSN

  • In support of Information Technology Modernization (IT Mod), the Numerical Identification "NUMIDENT" query was replaced with a new web-based query on October 20, 2018. This transmittal updates references to the NUMIDENT query with plain language indicators, specifically by using the uppercase wording of "NUMIDENT."

  • In support of Information Technology Modernization (IT Mod), the Alpha-index query was replaced with a new web-based Alphabetical Identification (Alphident) Query on June 29, 2019. This transmittal replaces obsolete references to "alpha-index query" with "Alphabetical Identification (ALPHIDENT) query."

RM 00207.040 FO Procedures — Auxiliary or Survivor Claimant Has an SSN

Procedure

1. Claimant Knows SSN

STEP ACTION
1 Get the claimant's SSN.
2 Ask the claimant to refer to the SSN card or other written document to confirm his or her SSN.

3

Confirm the SSN by using the NUMIDENT query.

NOTE: In most cases, the Pre-Interview Operation in MCS will automatically query the NUMIDENT for a possible match.

2. Claimant Alleges Having An SSN But Does Not Know What It Is; May or May Not Have SSN Card Elsewhere

STEP ACTION
1 Use the Alphabetical Identification (ALPHIDENT) query to locate a possible SSN.
2 Verify possible SSN using the NUMIDENT query. See RM 10235.005 and RM 10235.040.
3 Enter the SSN on the appropriate claims form(s).

4

If replacement SSN card needed or unable to locate/verify SSN via ALPHIDENT /NUMIDENT queries:

  • Obtain an SS-5 and appropriate evidence.

  • Enter the claim number in the CAN block.

  • Process the SS-5.

NOTE: When the claim number is entered in the CAN block, the system will cross-refer the applicant's SSN to the MBR.
