RM 01305.024 Handling Requests For Statements In Different Language

The information in this section is not applicable while mailing of the Social Security Statement is suspended. See information on accessing earnings information using the MySocialSecurity web portal in OA 00205.010.

A. Policy

We currently issue automatic Statements in English, except for those going to residents of Puerto Rico. All Puerto Rican Statements are issued in Spanish.

The Statements advise recipients that if they received a Statement in one language, but want it in the other, they can submit a request for a new one.

We use the Statement History File to indicate which language the SSN holder prefers. We automatically annotate the History File with indicators for persons who submitted SSA-7004 request forms asking for Spanish Statements.

The History File Query process allows FO and TSC personnel to update the records of current recipients of automatic mailings who report that they want subsequent Statements in the other language.

NOTE: In the future, we plan to expand this option to include additional languages. You will be notified when those choices become available. For now, the only available options are English and Spanish.

B. Procedure

To change the SSN holder's preferred language for the Statement, use the History File PBHU screen and follow the instructions in MSOM QUERIES 007.005.
