DI 80830.020 Ways That Actions on a Fully Electronic Case Can Enter Processing Center (PC) Workflow

PCs will receive fully electronic actionable work in various ways:

  • Stub Record - this process is similar to the stub record process currently being used for A101s. An Action Control Record (ACR) is automatically created in Paperless that will show the Type-of-Event-Levels (TOELs) of the work involved. For example, an ALJ reversal will show the TOEL APPEAL HEARING CPMS REVERSL so the technician knows to access eView for the ALJ decision and process the required action. The stub record process is also called the “tap-on the-shoulder” process.

  • Fax Into Paperless – this process will be used by some fully electronic components until the stub record process is implemented. The component processing the case electronically will fax information about the action into the PC’s Paperless fax number. The fax will provide the TOEL 1/2 and the type of action so the action can be indexed to the proper location. When the technician sees the ACR, he/she will access eView, Case Processing Management System (CPMS), or other electronic records to find the documentation and take the appropriate action.

  • eMail – some components will be sending emails to managers or technicians about cases requiring actions. This is an interim method until eDib creates the appropriate interface between the fully electronic resource and the PC’s Paperless Process Center (PPC) system (see DI 80830.075B.).

PCs will also continue to receive some workloads from the traditional processes. The weekly Disability Control File (DCF) alerts (currently using the stub record process) will continue to be loaded into Paperless on a weekly basis. The current process for continuing disability review (CDR) mailer alerts and enforcement alerts will not change.
