A. Introduction

This section shows the flow of the Form SS-4 process when SSA receives the form and explains the flowchart.

Use this diagram to follow the flow of the Form SS-4 process at SSA. Refer to the table in this section for a narrative description of the SS-4 process.

C. Description of the form SS-4 process at SSA

This table describes the major functions of the Form SS-4 process at SSA as shown in the flowchart in this section. NOTE: The function number and name in the table corresponds to the number of the function shown in the flowchart.

Function

Description

1  Receives File from IRS weekly.

The Office of Telecommunications and Systems Operation (OTSO)

  • receives the file for SSA, and

  • sends file to the Center for Automation, Security, and Integrity (CASI).

2  Data File run through Census Bureau Autocoder Program

Generates two output files:

  • Autocoded – Records with a valid six-digit NAICS code.

  • Clerical – Records without a valid NAICS code.

3  Autocoded files to database

(CASI) loads the Autocoded file into a database where the records accumulate until the end of the month.

4  Clerical files to database

(CASI) loads the Clerical file into the SS-4 Automation application database for the (DEBS) to process.

5  SS-4 Automation Application

DEBS technicians manually assign NAICS codes to SS-4 records

6  Manual coded files

(CASI) loads the manual coded files into a database within the month.

7  Autocoded files

(CASI) loads the Autocoded files into a database within the month.

8-10  Create files for Census

Two files are created for Census:

  • Autocoded

  • Manually Coded

11-13  Transmit files

Transmit one file to the IRS.

Transmit two files to Census

  • Autocoded file

  • Manually coded file
