GN 00401.025 Office Recovery Procedures by Role

The procedures apply to those personnel who have responsibilities listed in the following section.

A. Field office manager

The manager or officer-in-charge at the time of the event:

  • Notify the Area Director, who will provide advice and direction.

  • Visit the scene as soon as it is feasible to do so.

B. Area director

  • Inform the Regional Office (RO) of the situation.

  • Serve as principal director and advisor to the affected manager during the recovery.

  • Email ^DNNSO Customer Notifications to post any office closings to InfoCast as outlined in Office of Closure Due to Disaster GN 00401.020A.

C. Regional office

  • Inform the Deputy Commissioner of Operations’ (DCO) Front Office of the situation.

  • Convene a Regional Disaster Recovery Team; appoint an individual to head the team; and provide coordination with the affected Area Director (AD).

D. Regional disaster recovery team

  • Work with the AD to develop an action plan for recovery and identify any unique situations.

  • Serve as a source of information and support to the AD and affected office(s).

  • Make all necessary contacts within the RO and with other agencies (e.g., Federal Emergency Management Agency (FEMA), General Services Administration (GSA)).

  • Establish contact with the Office of Public Service and Operation Support (OPSOS) in Central Office (CO) at ||DCO OPSOS.

  • Determine what assistance other SSA offices can and should provide in accordance with any Continuity of Operations Plan (COOP).

E. DCO front office

  • Notify the Commissioner of the event.

  • Notify Deputy Commissioners, Associate Commissioners, and other Regional Commissioners.

  • Ensure that OPSOS is aware of the situation and is in communication with the RC or the RO Recovery Team.

F. OPSOS

  • Serve as the focal point in CO for recovery effort.

  • Formulate any action plan(s) needed.

  • Through contact with the RO Recovery Team, determine what CO information and support is necessary and arrange for that support.

  • Bring significant and sensitive issues to the attention of the Commissioner through the DCO.
