DI 11010.360 Handling Trailer Material for Paper Folders

A. Procedure - benefit payments affected

For Certified Electronic Folders (CEFs) follow the procedures in Processing Trailer Material for the Certified Electronic Folder (CEF) - DI 81020.140. The following instructions apply when the official folder is paper. If subsequent material, to be associated with the claim, requires immediate action and field office (FO) direct input is not possible:

  • Fax the material directly to the Paperless Processing Center (PPC) making the benefit payments, even if the disability case is temporarily in another office.
    EXAMPLE: The case may be in the Office of Disability Operations (ODO) or the Disability Determination Services (DDS), but a Processing Center (PC) is making the payments, or the case is in the Disability Determination Services (DDS), but ODO is paying the benefits.

  • Examples are requests for suspension of benefits and statements of recent work activity. For these cases the component receiving the information should handle the case. The case is not sent to the PC.

  • If the case is in the DDS, fax the material to the PC and notify the DDS about the notice of death or change of address.

  • When faxing material to the PC, indicate the DDS has been notified.

  • If the case is in ODO, and ODO is not the paying office, fax the material to the Program Service Center (PSC) for immediate action and notify ODO of notice of death, change of address.

B. Procedure - benefit payments not affected

If a case is in the DDS and the subsequent material (e.g., a medical report) does not have an immediate effect on current benefit payments, the FO sends the material directly to the DDS. Do not notify the PC making the benefit payment. If the case is in the PC, send the material to that office or fax into the CEF.
